Moulton Primary School

The current system of using paper and relying on catering staff to track payments and numbers was unreliable and gave the school no opportunity to gain control and improve the financial management of the catering operation. Student’s progress through the system was slow and not very enjoyable. A new cashless catering system would need to improve on all of the above as well as introducing new ways to communicate with parents and allow Free School Meals to be served in a more discrete way. A smooth and efficient flow of students through the tills and keeping parents informed was needed.

This smaller than average Primary School is set in Moulton, Cheshire. There are 200 pupils and the numbers eligible for Free School Meals is below the national average.

The Challenge

The current system of using paper and relying on catering staff to track payments and numbers was unreliable and gave the school no opportunity to gain control and improve the financial management of the catering operation. Student’s progress through the system was slow and not very enjoyable. A new cashless catering system would need to improve on all of the above as well as introducing new ways to communicate with parents and allow Free School Meals to be served in a more discrete way.

The Solution

Staff from the school visited Kingsmead Primary School to see LunchHound in operation; they were very impressed and the new system was installed in January 2010.  The till in the canteen area is operated by the school’s Midday Assistant, other admin staff are able to step in when needed due to the systems very simple operation. The administration software is available on two separate office PC’s from where the Business Manager and Admin Assistant are able to run reports and generally manage the system. There is no doubt that students can now be served much more quickly and efficiently and the fact that student’s accounts are simply credited with their Free School Meal allocation, with nothing visible at the till, has been well received.  Reports in the system will be very helpful when the school needs to present an accurate record of Free School Meal take up in order to benefit from changes due with the introduction of Universal Infanf Free School Meals in September.

Customer Comments

LunchHound has given us a very tight and efficient way to process school dinner payments. The immediacy of being able to find out what each child’s balance is, what food they have eaten, who is overdrawn and how many meals have been consumed is invaluable and a huge improvement on how we did it in the past. The way in which we are able to keep parents informed so that they know that their money has been paid into the system and that their children have eaten a substantial meal has been an added bonus, we are even able to include the following week’s menu; all achieved very simply and quickly. As a next step we plan to introduce online payment, this will reduce the amount of cash taken in the office and will make it much more convenient for parents to pay money into their child’s account. One potential downside of a cashless system is that it does introduce the possibility of students going overdrawn, LunchHound allows us to apply a policy which results in parents being immediately informed once their child has gone over by two meals; this is a good example of how the immediacy of information in LunchHound allows us to act quickly to prevent any errors. Support has been ‘spot on’ – very fast to respond and always really helpful.
